Customer handoff
The handoff is how a plant moves from your shelf into a customer's Plantorbia account with your care guidance on it. It runs off an email and a template pick, so it adds almost nothing to checkout.

A staff member records a sale in Plantorbia with the customer's email address and one or more line items. Each line item is a plant template and a quantity. There is no app for the customer to install at the counter, no QR label to print, and no separate store account for them to make.
Plantorbia generates one claim link for the whole sale and emails it to the customer. Your dashboard shows the sale as sent, with the line items and the customer contact details.
What the customer does
The customer opens the link and signs in to Plantorbia, creating a free account first if they do not have one. They see the plants on the sale with your care details, and they confirm which ones to add. They can lower a quantity or skip a line entirely, for example if a plant was a gift they do not want to track. Each plant they keep is added to their collection with the template's watering schedule, light, placement, and notes copied onto it.
Because a customer is always signed in before a plant is added, there is no anonymous plant data and no orphaned record to reconcile later. One Plantorbia account works across every nursery a customer buys from.
Unclaimed sales
If a sale is still unclaimed after seven days, Plantorbia sends the customer one reminder email, then stops. A sale that is never claimed is marked expired after twelve months and kept as a record. It is not deleted, so your handoff history stays complete whether or not the customer followed through.
Warranty coverage starts at the sale, not the claim
The date a plant's warranty window runs from is the moment you recorded the sale, not the moment the customer got around to claiming it. A customer who claims three weeks late does not get three extra weeks of coverage.
What claiming a plant sets in motion
- A watering reminder is created on the customer's side using the template's schedule.
- The plant is linked to your nursery, and a customer record is created or updated.
- The claim is logged as a system-observed event on the plant's Care Trail.
Plan limits
Basic allows up to 40 recorded handoffs per calendar month and Starter up to 150, both counted by the number of sales you record and reset on the first. Recording past that count in a month is blocked until the next month or an upgrade. Growth removes the limit entirely. Sales you recorded during a Growth trial are not retroactively hidden if you later move to a lower plan; only new sales past the cap are blocked.
